Job Description
The Department of Physics & Astronomy is seeking candidates for a full-time, Graduate Program Administrative Services Assistant. This position is located on The Hill in the Nielsen Physics Building.
The primary responsibility of the position is to provide administrative support to the Physics & Astronomy Graduate Program which consists of 150 graduate students. The successful candidate will coordinate information for the Director of the Graduate Program, Physics faculty, and the Graduate Admissions and Recruiting Committees.
Responsibilities
Responsibilities also include: providing up to date knowledge regarding policies and program timelines, acts as the department's liaison to UTK Graduate School, and supports students when appropriate. This position will manage documentation of individual students' history in our graduate program (starting with their initial letter of offer, courses taken, annual committee meetings and e-reports to Graduate Affairs committee, publications, fellowship and research grant support and ending with student's graduation seminars and documents); work directly with faculty to generate data tables to be used in statistical assessment of graduate performance metrics and attend Graduate Affairs and Graduate Admissions and Recruiting Committee meetings.
Secondary responsibilities include Banner class entry, mailroom organization, maintain office supplies for department, key requests, responding to department telephone calls and department email account and other duties as signed by the office manager.
The ideal candidate will have prior experience writing formal letters, strong professional communication skills, ability to multi-task & cope with interruptions, highly organized, and be a team player.
Qualifications
Educational & experience requirements:
High school diploma and at least 5 years in an administrative position or an associate's degree in business or other related field with at least 3 years administrative experience.
Experience with Microsoft Outlook suite is required. Preference will be given to applicants who have experience working with students.
